Cancellation at a glance

Organisational training bookings.

These are the normal maximum training-fee charges where the client cancels for reasons other than circumstances outside both parties’ reasonable control. The actual charge may be lower where FieldSafe can avoid the loss.

FieldSafe cancellationIf FieldSafe has to cancel, the first preference is an agreed replacement date; fees for undelivered training are not retained where no replacement is agreed.
Consumer rightsNothing in this policy removes statutory consumer cancellation or other mandatory rights where they apply.
Full policy

1. Scope

This policy applies to FieldSafe Medical training and readiness bookings unless a written quotation states a different arrangement before the booking is confirmed. FieldSafe SOS is a separate digital product and is not covered by this training cancellation policy.

2. How to cancel or request a new date

Email [email protected] as soon as you know a booking may need to change. The effective notice date is the date FieldSafe receives the written request.

3. Rescheduling

Where possible, FieldSafe will first try to agree a replacement date. A request to move a booking is not automatically treated as a cancellation where a practical replacement can be agreed. Repeated or very late changes may be treated as a cancellation if the original date cannot reasonably be resold or the change creates unavoidable loss.

4. Client cancellation charges

For organisational bookings, FieldSafe may charge up to the percentages shown in the at-a-glance table above. The purpose is to reflect time reserved, preparation already completed and the reduced opportunity to rebook the date — not to impose a penalty.

Where FieldSafe avoids or recovers a cost, that should be reflected in the final amount charged.

5. Travel and third-party costs

Transport, accommodation, parking, venue or other costs committed specifically for the booking may remain payable where they are non-refundable or cannot reasonably be recovered. These are separate from the percentage training-fee charge.

6. Circumstances outside reasonable control

If serious circumstances outside either party’s reasonable control prevent delivery, both sides should communicate promptly. The first preference is normally to reschedule. Any unavoidable third-party costs already committed will be discussed openly rather than assumed.

7. If FieldSafe needs to cancel

If FieldSafe Medical cannot deliver the agreed booking, FieldSafe will offer a suitable replacement date where possible. If no replacement is agreed, fees paid for the undelivered training will be refunded. This does not affect any rights that cannot lawfully be excluded.

8. Consumer bookings

Most FieldSafe training is expected to be booked by organisations. Where an individual books as a consumer, mandatory UK consumer cancellation rights may apply depending on how and when the contract is made and when performance is requested. Those statutory rights take priority over any inconsistent part of this policy.

9. Questions

If a booking is likely to change, contact FieldSafe early. The aim is to find a workable solution rather than create a surprise charge.

Practical rule: the earlier FieldSafe knows, the more options there are to move the date, recover travel costs or offer the original slot elsewhere.

This policy is designed to be clear and proportionate but should receive solicitor review before FieldSafe relies on it for significant contracts or unusual booking arrangements.
